· Give committee members appreciation for their work.
· Give committee members support, and enable them to do all they want on the committee. Perform the tasks they don’t want to do.
· Research and publicize opportunities for members to use their skills to improve the quality of life in our community.
· Organize at least one group activity for community service during the year.
· Write newsletter articles about community service opportunities and about community service activities performed by the chapter and by individual members. Work with the Publicity manager to publicize group and individual community service activities to local media.
· Inform the Administrative Council of ways to integrate community service into chapter activities whenever possible, for example, holding chapter meetings at a hotel or restaurant that donates leftover food to nonprofit food distribution networks.
· Inform the Administrative Council of worthy nonprofit recipients of surplus chapter material, for example, notebooks left over from a conference.
· Ensure that no community service activities performed by the chapter as a group are of a political or partisan nature.
· Consider attending Engineering Council of Houston monthly meetings as STC’s representative and inform the Administrative Council of ECH community service activities.
· Prepare a budget of estimated income and expenses for the August Board meeting. If you expect some expenses to be donated, include them in the budget with an estimated cost. (Keep an extra copy of the budget to pass on to your successor.)
· Give merchant’s a copy of the Texas Sales Tax Exemption Certificate when buying committee supplies. (We don’t pay sales tax as a nonprofit organization.) Complete the chapter’s Request for Payment/Deposit Form for purchases and deposits and give it to the Treasurer.
· Inform the Board if you believe your expenses may exceed your approved budget.
· Attend each Board meeting, if possible. If you cannot attend, submit a report to the President beforehand on your committees activities.
· Report on your committees actual expenses and income and on your committee’s accomplishments at the June Board meeting.
· Ability to attend as many regular program meetings as possible.
· Ability to attend the first Board meetings during budget discussion and approval.
· Ability to attend Board meetings whenever the agenda includes topics relating to your committee.
· One or two committee members.
· Ability to make phone calls during working hours while planning and recruiting for an activity/event.
· Access to fax machine and/or email.
· Examples of community service activities appropriate for the chapter:
— Fundraising telethons for educational television, literacy agencies, or schools
— Sponsorship of a school or class with mentoring or tutoring
— Writing or editing publications for nonprofit agencies
· Examples of community service activities inappropriate for the chapter (not applicable to individual member activities outside of STC and the chapter):
— Campaigning for or against a political candidate, party, or platform
